Programme Management
Cuba has no venue directory. That is the service.
Venue mapping, assessment, and contracting across Havana and the island, from colonial courtyards to convention-scale space.
Why it matters
Sourcing a venue in Cuba is not a search exercise, because there is nothing to search. Availability, capacity, and condition live in local knowledge and working relationships, and that asymmetry is exactly what a client is buying.
A venue brief usually arrives with a picture attached and a number in mind. The useful first conversation is about neither: it is about how many people need to move through the space at once, what the power draw of the production will be, and what happens if it rains.
Once those are settled, the shortlist gets much shorter and much better. What remains are venues that can carry the event rather than merely photograph well.
What we manage
The work this covers.
Brief-to-shortlist venue mapping
A considered shortlist with reasoning attached, not a list of everything that happens to be available.
Capacity, access, power and load-in assessment
The practical questions that decide whether a beautiful space can actually host the event.
Site inspection coordination
Recce trips arranged and accompanied, with the right questions asked on the day.
Rate and contract negotiation
Terms agreed in writing, in a market where a verbal hold means very little.
Cancellation and attrition review
Exposure understood and explained before signature rather than after it.
Backup venue holds
A second option held on the critical dates, so a single failure is not a programme failure.
How we approach it
The order the decisions get made in.
-
Step 1
Read the brief for constraints, not preferences
Power, access, and weather cover eliminate more venues than taste does.
-
Step 2
Inspect before recommending
A shortlist is only as good as the last time someone stood in the room.
-
Step 3
Contract the hold, then celebrate it
Nothing is confirmed until the terms are on paper.
What this means in Cuba
The part a global agency cannot write for you.
- The venue typology worth knowing runs from colonial courtyards in Habana Vieja and rooftop terraces facing the Malecon to fully bought-out paladares, historic theatres, fortress terraces, beach clubs in Varadero, tobacco farms in Vinales, and convention-scale space for larger formats.
- In historic buildings, available power and climate control are usually the deciding constraint rather than floor area.
- There is a real distance between a venue being available and a venue being contracted. Hold periods, deposits, and written terms are handled as part of sourcing.
- Weather cover is a design requirement rather than a contingency for any outdoor space between roughly June and November.
Scale
What size this works at
From a 12-person private dinner to a 400-guest reception.
Ideal for
- Events needing a venue that reads as unmistakably Cuban
- Clients comparing options before committing to the destination
- Programmes with technical or capacity constraints
