Groups & Events

Corporate programmes, incentives, and events, operated in Cuba from Havana.

Havana's Trip plans and delivers group programmes for organisations: reward travel, meetings, brand events, cultural programming, and production support, managed end to end by a team based in the country.

Why Cuba, and why locally

A destination that does the persuading, and a supply chain that does not run itself.

Cuba gives a corporate programme something most destinations cannot: an experience delegates could not have assembled on their own. It also has a supply chain that rewards presence and punishes assumptions.

The opportunity

Scarcity value, built in

Colonial courtyards, 1950s hotels taken in full, live music of a depth that does not travel, and landscapes an hour from the capital. The destination carries the programme before it begins.

The reason for a local partner

Presence is not a preference here

Availability, condition, power, and permissions are not published anywhere. They are established by people who can be standing in the venue that afternoon.

Programme management

How we work

Six stages, and you know where the programme stands at every one.

There is no shortcut through a Cuba programme, but there is a sequence that keeps decisions ahead of deadlines instead of behind them.

  1. Stage 1

    Brief and objectives

What the programme is for, who is travelling, and which markets they travel from.

  2. Stage 2

    Feasibility and indicative budget

An honest read on what is deliverable at those dates and that number, with a cost range before anyone commits.

  3. Stage 3

    Site inspection

Venues and route seen in person and accompanied, with the technical questions asked on the day.

  4. Stage 4

    Contracting and supplier lock-in

Terms on paper, deposits placed, and fallbacks named for every critical element.

  5. Stage 5

    On-site delivery

A programme manager present for the duration rather than a handover on arrival.

  6. Stage 6

    Reconciliation and debrief

Final accounting against the approved budget, with variances explained, and a written debrief.

What you are relying on

What we can tell you before there is a case study to show you.

This branch is new. Rather than borrow credibility we have not earned yet, here is exactly what the working relationship gives you.

How we operate

Based in Havana, not represented from abroad

Decisions are made in the country, by people who can be standing in the venue that afternoon.

How we operate

One contracting relationship

However many suppliers sit behind a programme, the client holds a single agreement and a single point of contact.

How we operate

Named fallbacks, agreed in writing

Contingency planning is a deliverable. Every critical element carries an alternative that was agreed before the group travelled.

How we operate

A bilingual team on the ground throughout

The programme is not handed to a local partner on arrival. The people who planned it are present while it runs.

Groups & events FAQ

The questions that come up before a first call.

If the answer you need is not here, it is a good thing to put in the brief.

Can you support delegates travelling from different markets?

Yes, and it is the first question we ask, because entry documentation and record-keeping obligations follow the market a delegate travels from rather than the destination. We prepare and coordinate the documentation your organisation specifies, working alongside your legal and compliance team rather than in place of it.

Can Havana's Trip manage a complete corporate programme in Cuba?

Yes. We plan and operate programmes end to end, covering budget, suppliers, venues, delegate movement, documentation, and on-site delivery, so the client holds one contracting relationship rather than coordinating separate providers across a communication gap.

How far in advance should a corporate programme be booked?

Six to nine months is comfortable for a full programme, and twelve is better if the dates are fixed or the group is large. Venue holds, equipment import, and permit lead times are the items that set the floor. Shorter timelines are possible but narrow the venue options considerably.

Do you handle event production, or only logistics?

Both, and they are usually the same engagement. Production covers creative concept, staging, sound, lighting, power, decor, live performance curation, and show-calling. Logistics covers arrivals, transfers, rooming, and daily movement. Clients can also take either side on its own.

What are the main planning constraints to know about in Cuba?

Three recur. Payment is cash-weighted and several categories commit early. Connectivity is limited enough that delegate communication needs an offline fallback. And production equipment is split between what exists on the island and what must be imported, which is the decision that drives both budget and schedule. We plan around all three openly rather than discovering them late.

What group sizes can you handle?

Most programmes fall between 20 and 80 delegates, and we run up to around 150 in a single programme with staged arrivals. Smaller formats, from a 12-person board retreat upward, are equally workable. The limiting factor is usually venue capacity rather than logistics.
